Morgan McLernon part of the Culina Group are currently recruiting for the role of: Assistant Fleet Manager
To ensure that all Morgan McLernon, Culina Group equipment is maintained in line with our undertakings contained in our Operators Licence.
To comply with the requirements of the Culina Group standards of maintenance and best practice. Focus must also be maintained on the department budget
KEY ACCOUNTABILITIES:
Operational Activities – To communicate with all departments the maintenance plans for servicing and PSVs. Carry out reviews to ensure decisions are made to address any slippage to the plan.
Vehicle files – Carry out regular audits of all vehicle files to ensure the files contain the correct information, is in sequence and in line with our legal obligations. These files must not contain any documentation more than 15 months old. Files that are over 15 months old to be archived. Any new equipment should be filed in a logical order. The purpose of the audit is to ensure that we are legally and Culina compliant.
Slippage reports – Update and check prior to sending to Heads of Departments, Culina & Maintenance Team.
Trailer Reconciliation – Review the document to ensure that it contains the current fleet, and any de-hires are removed. Ensure that it is completed daily and that trailers numbers are recorded to
help identify VORs and non-tracking trailers.
Driver Defects – Ensure that the Maintenance Team are utilising the Aquarius Clock-watcher system and VDC to improve our K.P.I.s
Defect Sign Off – Review the Defect & Repair Sign Off Procedures to ensure a traceable audit of all defects. Ensure drivers are contacted if clarification of a defect
if required.
Breakdowns – Contact repairing agents and keep the department & management team up to date with any breakdowns that may impact customers or availability of equipment.
Vehicle Services – Liaise with service agents, operations teams, and other depots to ensure that all company vehicles are serviced within the company & legal requirements.
PSVs – Liaise with service agents, operations teams, and other depots to ensure that all company vehicles are serviced within the company & legal requirements.
Gate exit checks – Ensure that the Maintenance Team are completing checks with drivers and vehicles.
Service (PMI) & PSV plans are communicated to all internal stakeholders & external suppliers on time and follow up any non-adherence.
Freeway / Fleet Management System – Assist the Fleet Manager with the implementation and development of Freeway.
Fleet Manager – Deputise for Fleet Manager when not available due to holidays or other commitments.

KEY TASKS
– VOR Report – Review the VOR daily to ensure that the information contained is accurate.
– Trailer for urgent repair e-mail – Is sent prior to the end of shift.
– PSV Report e-mail – Is sent prior to the end of shift.
– Overdue Service / PMI e-mail – Is sent prior to the end of shift.
– End of Shift report – summary of the day. New report to be generated.
– Fleet De-Hires Report – is updated.
– PSV Report – Review monthly report and update with completed PSVs, sending chasing e-mail for
non-compliance.
– Breakdowns – Deal with breakdowns, ensuring that the correct information is provided to service providers. Escalate any breakdowns that may impact customers or availability of equipment.
– On Call – In conjunction with the rest of the Maintenance Team deal with out of hours breakdowns, ensuring that the correct information is provided to service providers. Escalate any breakdowns that may impact customers or availability of equipment.
– Pin Lock Board – Ensure that this is kept up to date and that all keys and locks are accounted for.
– Service planners – Review the service planners to ensure that the information is accurate and legally compliant.
– Vehicle PSVs – take prepared vehicles to PSV if required.
– Service Providers – Take and uplift vehicles from service providers to ensure maximum availability of equipment.
– General mechanic – use expertise to help diagnose and reduce costs to the department.
